Officer, Building Management and Security Support

Key Accountabilities

  • Analyze and optimize office spaces by re-arranging office relocation, managing vacant space and adjusting to common areas or co-working spaces, with suitable cost.
  • Plan office space for rent and coordinate with relevant parties, including prepare sublease and service agreement.
  • Ensure office building rental and service agreement are compliance, well managed and renewed on time.
  • Analyze utility management and utility saving implementation.
  • Analyze facility management data in terms of life cycle cost, OPEX, CAPEX and FM execution model by using standard benchmarking to compare.
  • Analyze and improve facility management operation to meet SLA, including staff satisfaction, with quality and effectiveness in terms of workload, budget or time management.
  • Establish and ensure all facility services procedures and guidelines are up to date and executed
  • Arrange and ensure department key risk profile are up to date, work as risk coordinator.

Key Accountabilities (Continued)

  • Ensure to execute yearly preventive maintenance plan, department KPI & budget related office facility management.
  • Ensure all works by technicians’ team, EnCo building management and hired contractors meet SSHE standards and procedures.
  • Ensure all renovation projects in the office are well managed with quality of work, in time and cost efficiency.
  • Ensure department asset management are aligned with procedures and up to date report.
  • Ensure Business Continuity Plan (BCP) is up to date and facility management team is well prepared for any situation. Ensure facility services procurement aligned with procurement rules and regulations
  • Follow the company’s SSHE policy and regulations in all works under responsibility.
  • Responsible for additional assignments as instructed by Manager

Professional Knowledge & Experiences

  • Bachelor degree or higher in relevant areas i.e. Facility Management, Engineering, Business Administrations etc.
  • More than 5 years of Building or Facility Management work experience
  • Good command of spoken and written English with TOEIC score not less than 650
  • Computer literate, MS Office – Word, PowerPoint, Excel.
  • High service mind and interpersonal skills
  • High responsibility and leadership
  • Good presentation skill
